All data submitted to The Alex Alerting Service, herein "AAS", "AAS-ROI" or "The AAS", collectively "we" or "us" hereby issues the following policy for the storage and handling of your data, which is in-line with EU-GDPR Article 5(1)(e) where by the following is applicable
The AAS will not retain your data for a period exceeding 27 calendar days. After which the data will be destroyed.
The AAS will shorten this time limitation to the duration of time the data should be retained, based on the conditions of AAS alert stamped and serialised as BUID20260227084300-GM0 expressly, limiting storage to the indicated travel time outside the Republic of Ireland to the United States of America only.
The data will be used expressly if the subject is unaccounted for for a further 3 days past the anticipated return date from the nation as noted from the previously mentioned notification.
The notifier must provide the requested information in tandem with their ID for the data to be stored and addressed appropriately, else the data will be destroyed.
AAS will expressly use the data to contact the Department of Foreign Affairs and Trade in Dublin, ROI, the Irish Embassy in Washington D.C. and/or the nearest Irish Consulate to your last known location to provide the alert required for your safety, further more, in the event the Consular, DFA or Embassy request that the AAS contact local police, state or city representative, the ID will not be submitted in this case to the authority, but instead the image of your likeness from said ID, First name(s) and surname(s) and last known location.
With respect to Article 17 of GDPR, the following applies.
You may submit a request for your data to be deleted. You require to provide an identifying piece of Information, like a passport number or the BUID that was issued to link you directly to the file itself.
You are not required to provide a reason, except expressly that you have returned to ROI early and the data is no longer relevant to retention the data will be deleted within a reasonable time.
You may have canceled your trip, in which case, selecting the appropriate option, providing a contact email and a piece of requested information to confirm the data is yours, will result in your data being deleted within reasonable time.
Reasonable time is typically 24 hours, though this may be faster and be no greater than 30 hours from the time of erasure request.
The data will be removed, however to comply with GDPR, you may submit a subject access request to obtain a copy of the data retained. If you commit to ART 17, then submit a SAR, this will not be honoured as the data handling will occur in the order of the requests only.
What the AAS requires from you during the submission of information
Phone number(s) of all party members.
Hotel, Motel or Hostel contact details.
PPS Number(s) (used as your identifying security challenge)
Passport Photo Page & and Passport Number
Flight number and date of outbound leg.
Connecting US domestic flight number and date of departure if applicable.
Flight number and date of return leg.
Connecting US domestic flight number and date for the return leg, if applicable.
The address of the location you intend to stay following the format of Name of hotel, hostel, motel, residence (door number), then Street Name, then Town Name, then nearest city name, then State Name, finally ZIP code.
The dates you will be present in each place of rest from and to.
If renting a motor vehicle, please provide the Plate Number of the vehicle, and if visible the VIN, the make and model and colour of the vehicle. (Used to provide law enforcement with a lead in finding you)
If traveling with multiple people Public Services Card and Passport for all members of your party must also be submitted separately. (This facilitates all members to enforce their rights, while also enabling AAS to render assistance where necessary)
Any disability you or a member of your party may have, namely, Autism, ADHD, Dyslexia, Type 2 Diabetes, Mobility Issues, Speech Impaired, Hearing Impaired, Alzheimers or Tourettes.
Any major medical conditions and/or medical equipment required to help sustain life.
As a yes/no response, criminal history within the last 10 years.
Whether or not you have ever been denied entry to the USA.
Whether or not your are a US citizen.
Contact email address (this is to enable us to provide each member of your party (or just you) with the BUID tied to the data, which is handled on an individual basis only.
The request for parts 13 and 14 will enable the ASS to make or prepare a legal case for you within the Republic of Ireland and/or the USA, questions 15 and 16 for to immediately advise you whether entering the USA is a good or bad idea. And 17, which will determine if it is even possible to protect you in the first place.
As above, at the moment of your return, or where your return is while the AAS is not being monitored, the AAS will automatically start the 3 day countdown for all BUID's on note where you must endeavour to make contact with the AAS by any of the means advised to you prior to your travel to the USA. On the 3rd day, the AAS will attempt to make contact by way of a telephone call and an email, to which, both contact attempts must be responded to within 12 hours (or a return phone call within the same timeframe). It is permitted to leave a missed call, at which point, you will receive a callback as soon as possible from us to confirm whether you are within the Republic of Ireland. Your PPSN will be asked for to confirm you are not under duress. The same applies for each party member, who must declare their return and PPSN to then automatically have their file closed and the data erased.
The guidelines: ensure that you leave your Public Services Card and anything carrying your PPS number at home. Memorise your PPS number as this number will be your key to a stand down of the Sentinel Service.
The Alex Alerting Service will only hang onto your data for a maximum of 27 days. However, this is not going to happen with regards to the information we gather. Your data is held typically only for a maximum of 3 days after your return to the Republic of Ireland.
You must notify the AAS on your return that you have safely returned.
You can request for the data you share to be erased, you just need a PPSN.
